This Week's News
  • Hillwood High School Open House this Thursday 6:00PM-8:00PM.  As of right now the band has not been asked to play.  We will commence with our normal after school rehearsal at 3:30 PM and will end thirty minutes early at 6:00 PM and students will be dismissed.  If we do end up being asked to play then we will do a "stand still" of our performance in the auditorium and will dismiss at 7:00 PM as originally noted in your calendar.  Dress would be the field uniform (White Shirt and Black Shorts)

  • Pinning Ceremony Friday, August 28, 2009 6:00PM - 8:00PM. The pinning ceremony will be held this Friday evening.  Students will be in full uniform for the first "official" time. During the ceremony, parents meet their band member on stage and pin their "pin" on their uniform. Parents/guardians, if you cannot attend, another adult will do the "pinning" for you. (Lisa Willoughby will be on hand to take individual pictures for the event.)

  • Hillwood High School Competitive Band Drill Camp Saturday 1:00 PM - 5:00 PM. Band Members will need to report to the band rehearsal hall by at or before 1:00 PM.  Section leaders will need to be here no later than 12:30 PM to get water and the field set up.  Students will need to come hydrated, bring a water bottle, sunscreen, hat, etc.  We will start work on learning our second movement, refocus some sets from the first movement, etc.  This will be a good time for parents to come out and watch, help with odds and ends, etc.  There is always something that needs to be done.

  • Chicago Trip RSVP and Deposit Due Monday, 08/31/09! If you are planning on going to Chicago, don't forget to lock in your reservation.  Response forms and $50.00 deposit is due no later than 2:00 PM Monday, August 31, 2009.  If you don't turn in a deposit, you will not be able to go on the trip.

  • Calendar Updates! We found another typo in the calendar and need to make sure you are aware of the change: The rehearsal scheduled for Saturday SEPTEMBER 12 is from 1PM - 6PM. For the most accurate calendar, please refer to the bottom of your weekly newsletter, or see it on our website under "Booster Blog."

  • Attendance Issues. We have had a rash of attendance problems lately. Please see the note under "Additional Comments" for more information and a copy of the attendance policy as stated in the contract signed by the parent/guardian and band member. We hope this is the only time we will need to remind our band member of the importance of good attendance.

  • Water Bottles and Field Uniforms.  Please make sure your child comes to after school band rehearsal with a water bottle and their field uniform.  We have a few students who are not bringing their needed materials or wearing the correct uniform.  This slight problem is now becoming a big concern.  Extra shirts and shorts can be purchased from the band office if needed.  Please explain the importance of hydration with your child.

  • Football Concessions Reminder. Thank you for all those who worked and helped with the concession stand Friday.  It was a great success.  We do still have openings available for the up-coming games.  Remember our contract states that we will all work 2 events.  To schedule your time to work, please contact Andi DeJarnette at adejarnette@hotmail.com.

  • Green Band Support Shirts.  The green golf shirts have been ordered.  If you submitted a pre-order, you will be contacted when the shirts arrive.   S - XL are $10 and XXL - XXXL are $12

  • Now Accepted: Visa, Mastercard, Discover, AMEX, and PayPal. Band fees can now be paid by using a variety of methods through PayPal. Don't forget donations! We have a place for that now, too. Visit the HHS Band website at http://www.hillwoodband.com/ to see (and use) them.

Greetings parents:
 
Parents, friends, and family will not want to miss this special occasion as we commence with our competitive season.  Parents or other designated family members will be asked to join their child as we pin them with the Hillwood Band Insignia Badge.  Band members will be called to the stage along with their parents or family members who will assist in "pining" the student.  We encourage family members to take pictures or film this event.  This is a very special event that you won't want to miss.  We will also induct our newest members into Modern Music Masters, also known as TRI-M into our Hillwood Band Chapter #5738.  Join us for light refreshments and a stand still performance inside the lobby of our first movement of the 2009 competitive marching band show.
 
Band members will have a call time of 4:00 PM on Friday.  Uniform and instrument inspection will take place at 5:00 PM.  Color guard members will wear a modified uniform consisting of the black shirt that was worn from last Friday's football game, a black unitard (on loan from the band) and the black kullerswift shoes.
 
Band members will need to have the appropriate undergarments and the black under armour. (Shirts shirts for those students who ordered one will be here on Friday ready to wear.)  Footwear will be the black MTX's.

Attendance Issues
 
We have had some issues recently with members and their attendance at activities that are on our calendar.  The calendar is on the website for your convenience.  All rehearsals and performances are considered mandatory unless otherwise stated.  Since we do not get the luxury of rehearsing our music or drill during class hours it is critical that students be at all rehearsals and performances.  Our policy (which is also policy for all co-curricular and extracurricular activities) is that two weeks notice must be given for all mandatory scheduled events, rehearsals, and performances.  Recently we have had a few members who have sprung up conflicts the day of our rehearsal or who have had to leave early without adequate notice. 
 
 In order for us to be the best we need to have everyone present at all times.  Please help us with this.
 
The contracts that parents and students signed state the following:
 
 1. ATTENDANCE POLICY
 
We the undersigned understand that student attendance is required at all dates (camps, rehearsals, performances, etc.) as given and outlined in the Hillwood Competitive Band Program's season calendar.  Students and parents will be given a minimum of a two-week notice for any and all required dates in which attendance is required.  We understand that a student member's failure to attend required dates (camps, rehearsals, performances, etc.) may result in suspension from performances or removal from the program.  We also understand that from time to time changes to the performance calendar may occur due to unforeseen circumstances (inclement weather, cancellation of school, etc.) and that adequate communication will be given to both parents and students in such an event.  In those instances where two-week notice is not possible, no suspensions or terminations will occur. 
 
 Furthermore we understand that it is both the student and parent's responsibility to clearly communicate all attendance problems in writing (written note or email, etc) a minimum of two-weeks prior to occurrence, with the understanding that absence (excused or not) from rehearsal may affect the part assigned with the Hillwood Competitive Band Program.  Failure to communicate attendance problems could result in performance suspension or removal from the program.  All known conflicts must be made in writing to the Director of Bands.
 
2. ABSENCE POLICY DUE TO RELIGIOUS HOLIDAYS, ILLNESS, OR FAMILY EMERGENCY
 
We understand that in regards to religious holidays that students will be excused from all events as outlined in the Hillwood Competitive Band Program calendar that are in direct conflict with religious holidays.  Students and parents are required to give a minimum of two-week notice for all absences due to religious holidays.  Furthermore we understand that situations may occur in which student members may be absent due to sickness or family emergencies (death in the family, etc) and that such absences will be excused at the Director of Bands discretion.  In such situations students and parents must contact the Director of Bands as soon as possible.

  • It's Football Concession Time Again! We are asking the every parent work at least 1/2 of a game.  Please contact Andi DeJarnette or Lisa Willoughby so we can fill the spots.

    To those signed up to work the concessions Friday:  First 1/2 workers - please come to the school any time after 3:30 to help set up.  You will work through half time.  Second 1/2 workers - please come to the concession stand at the end of half time and plan on staying to help close down.  Thank you for your help! 

  • Band Fee Schedule Modified to Accommodate Chicago Trip. The HHS Band Boosters Board of Directors voted to modify the fee schedule to make it easier on families to meet both obligations, if they so choose. A letter will be sent home tomorrow (Wednesday) with your student. More is included below.

  • Green Band Support Shirts.  Parents/adults who help with performances (pushing props, moving equipment, work the concession stand, etc.) are asked to wear their GREEN POLO-STYLE shirts.  We still have several available for sale.  Contact a booster board member for assistance.  S - XL are $10 and XXL - XXXL are $12

  • Students Supply List Set. Students need to have several supplies with them EVERY TIME they come to rehearsal. Aside from being dressed in their field uniforms, they need to have string, mechanical pencils, sheet protectors (for music and drill), and "permanent" water bottles.

  • Now Accepted: Visa, Mastercard, Discover, AMEX, and PayPal. Band fees can now be paid by using a variety of methods through PayPal. Don't forget donations! We have a place for that now, too. Visit the HHS Band website at http://www.hillwoodband.com/ to see (and use) them.

Dear Parents:
 
I'd like to take this time for me to remind you of a few things.  Band members need to report to rehearsals in appropriate uniforms with their instruments ready for rehearsal.  (This may mean that some members need to arrive 15-30 minutes prior to the start of rehearsal.) I understand that sometimes things happen, but please try to limit these, as well as absences. To have a productive rehearsal, we need everyone in place on time in top physical health, which brings me to my next point. 
 
We have had several incidents of students having to step out of rehearsal because they weren't feeling well.  Please make sure your band member has a good meal (or a protein snack) and is well hydrated BEFORE rehearsal.  Marching band is a physical activity and band members need to treat it as such.
 
Lastly, but most sincerely, I'd like to thank you for all your support.  We are further ahead this year than in years past.  Uniforms are fitted, prop construction is well on its way, and we have a new trophy shelf in the rehearsal hall.  Many, many thanks to everyone who has made this happen!

To HHS Competitive Band Families:
 
The Chicago Trip next spring is the first formal trip that HHS band has taken in 5 years. Because of this, the Hillwood High School Band Boosters Board of Directors wants to accommodate everyone and is ?learning as we go.' We know each family is working very hard to raise money for both the remaining $500 for their band fee plus the money for the trip. Therefore, the Board has decided the payment schedule listed in the contract that you signed should be adjusted.  Please see below the changes:
 
August 15, 2009  -  $100 band fee due
August 31, 2009  -  $50 trip fee/person due (3 days prior Thomas Tours due date)
September 15, 2009  -  $100 band fee due
September 29, 2009  -  $100 trip fee due/person (2 days prior Thomas Tours due date)
October 15, 2009  -  $100 band fee due
December 1, 2009  -  $100 trip fee due/person (2 days prior Thomas Tours due date)
January 5, 2010  -  $100 trip fee due/person (2 days prior Thomas Tours due date)
February 2, 2010  -  Remaining trip money due/person (2 days prior TT due date)
February 28, 2010  -  $100 band fee due
March 31, 2010  -  $100 band fee due (last payment)
 
Please keep in mind that if you are paying on a prior year balance and have a previous agreement signed by Mr. Chester, Ms. Gregory and Ms. Reeder,  then you will still owe the prior year payment amounts by the original agreed upon payment dates.
 
If you elect NOT to go on the trip, you will follow the ORIGINAL pay schedule.

  • August Band Booster Meeting Tuesday, August 11 at 6:00 PM. Please join us for the next Booster meeting.  Many topics are on the agenda.
  • Old Navy Performance Aug 15; Students report no later than 1:30 PM. Hillwood Band will be performing at the Old Navy - West Nashville from 2:00 PM - 3:00 PM for donations. Band members should wear their field uniforms and be at Old Navy no later than 1:30 ready to play. Band members are responsible for bringing their own instrument or flag; front ensemble will not bring instruments, but will provide support.

  • Calendars are out! The calendar was handed out Saturday afternoon at the band camp performance. If you weren't able to attend, or misplaced yours, you can find it on our website. Changes to the calendar will be announced in the weekly newsletter and be placed on the bottom of the newsletter under the "Calendar" heading.
  • August Band Booster Meeting Set. Please join us for the next Booster meeting Tuesday, August 11 at 6:00 PM in the rehearsal hall.
  • Band Swim Party Friday Night! The Carnes family has been gracious enough to host a swim party for the band this year. This is a great time to get to know new and returning band members and their parents.  Yes, parents are invited!  The Carnes' will make arrangements for the condiments, buns, meat, and life guards, but ask that individuals chip in a little.  Extras are listed below and are organized by the band member's last name. (If you're last name starts with an N, you should bring drinks.)  Remember, this is a neighborhood (not private) pool and you should be on your best Hillwood Band behavior. Hope to see you there!

    When: Friday, Aug 7 6:00 PM - 11:00 PM (picked up BY 11:00 PM)
    Where: Rolling River Swimming Pool (and volleyball court / pavilion)
    Why: To get to know new and returning band members and parents
    Cost: $2 to swim (to cover the association's fee), $3 to eat OR $5 to swim and eat

    Last name begins with:
    A - E = Deserts
    F - K = sides (potato salad, coleslaw, beans etc.)
    L-R = Drinks
    S-Z chips, dips, veggie tray, fruit tray etc.

    You can Google directions to 7028 Cotton Blossom Lane, Nashville 37221.  When you get to Rolling River, instead of turning right on Cotton Blossom, go to the next side-road and turn right. This will take you straight to the Club House.

    Please RSVP by NOON Friday requested so the Carnes can finalize their plans. Call 673-0036 and leave message if no answer. (This is ____ I plan to attend the party. My mother will come with me. Thank you.)

Apologies in advance for the long email this week, but there is a LOT to cover.
 
First of all, band members were given a supply list last week. Please make sure they have these items with them EVERY TIME they come to rehearsal.

Are you wondering what the uniforms are? Band members have several types of uniforms that they will wear throughout the year.  These uniforms are reserved for students, but if you would like to purchase the "parent/support" version, find a Booster Board Member. They will be able to help you.
