Weekly News
*Football game at Antioch Friday. After a brief rehearsal (3:30 - 5:30), band members will change into their CASUAL uniform and travel to Antioch. We will have a "pep band" for the football game. We are expecting inclement weather; please bring appropriate outer wear, including jackets and blankets.
* TWO Competitions this Saturday: Contest of Champions this Saturday at MTSU and Glencliff Colt Classic. Please read attached gig sheet.
PLEASE SEND FOOD OR MONEY WITH YOUR CHILD. We are increasingly having band members tell us they did not know they were supposed to bring lunch, even though it is stated three times in the gig sheet. Though we do not let your child go without, it does make it uncomfortable for other parents and band members.
* From the Treasurer:
Dear Parents: We have had a very successful marching season so far and we have many more wonderful things to accomplish. We need to insure that we will have the funds to finish the season. We must have full participation by every band parent to make sure that your child's account is either fundraised or paid down to the level that it should be at this point in the season. Fundraisers have been plentiful in the past and we have several going now that you and/or your child can participate in to keep your account up to date. If you have not had the opportunity to do any fundraising thus far you must make some payment effort to help us give your child a meaningful experience. A special thanks to all the parents for your continued support of our amazing students and the band program.
Please contact Mr. Chester or Mrs. Marcie Allen to make payment arrangements. An updated payment schedule can be found on our website at www.hillwoodband.com.
* Fruit sale information sent home. A link to the fruit sale sight is available on the HHS band website. The first due date is October 28 for Thanksgiving delivery. Information for ordering online is attached.
* FUNDRAISING OPPORTUNITIES: 1) Kroger cards (ongoing; contact Mrs. Marcie Allen) 2) Central Parking (ongoing; contact parking@hillwoodband.com) 3) Fruit sales (2 sales for Thanksgiving and Christmas delivery)

From Mr. Chester and Mr. Shepherd:
From the gig sheet: - 7:00 AM - CALL TIME (with instruments) in the REHEARSAL HALL - 7:45 AM - Parents on hand to begin loading the truck - 8:00 AM - Depart Hillwood High School - 9:35 AM - Arrive at MTSU - 9:50 AM - Band warm-up time - 10:30 AM - Band performance time
- 1:00 PM - Depart MTSU - 2:30 PM - Arrive at Glencliff High School - 3:30 PM - Band warm-up time - 4:00 PM - Band performance time
- 4:30 PM - CoC announcement of finals - 7:15 PM - CoC finals begin - 8:00 PM - Glencliff contest end time (estimate) - 8:00 PM - MCI (McGavock) contest end time (estimate) - 8:45 PM - Arrive at Hillwood High School (estimate)
Important Notes: -- We will need as many parents on hand to take care of loading equipment and to help the students between performances to get hydrated, fed, and rested. COC follows a prelims and finals performance format. However a finals performance at COC at MTSU is based on the highest winners in class A whereas Glencliff is only one performance.
-- Announcements of finals at COC will occur at 4:30 PM. Should the band advance to finals we will attend after a drawing is made. Finals at MTSU will start at 7:15 PM. Due to placement in prelims, it will be statistically improbable that the band will advance to finals.

Hello!
What a LONG day we had Saturday! The kids were professional, as usual, overcoming a few incidents. After a black eye, a hurt arm, and a couple of tumbles on the field, they came back during the second competition and swept their class: First place trophies for Color Guard, Field Commander, Percussion, and Band! Overall, the band won trophies: First for Color Guard, First for Field Commander, and Second for Percussion.
One weekend of competition to go! Saturday is going to be another long day. The CoC is a prelims/finals format competition. We're scheduled to perform at 10:15 AM; announcement of finalists won't happen until 4:30 PM. I'll include more specific information in the update, but this competition has many more guidelines than previous competitions and the amount of free passes is EXTREMELY limited, so be prepared to pay for admission. The two main guidelines that will possibly affect us are: video cameras are PROHIBITED, as are coolers and drink containers.
I do want to remind everyone to bring appropriate attire for the weather. Band members need to be prepared for the cold and the rain. And don't forget a packed lunch or money for meals and snacks. We'll be gone ALL DAY.
Have a good week!

Hello!
Mrs. (Julie) Lamb sent a guest commentator piece for the newsletter, but it contains some dated information. First, Julie's ticker is fine. We all had a scare Tuesday, but everything is good. Jeoria went on to the School Board meeting and spoke! Good for her!!! It's never too early to be an advocate!
Saturday is going to be a VERY long day. Please make sure you send money (or lunch) and snacks with your child. We're going to be running from place to place and won't have time to set up an area to share food. EACH BAND MEMBER IS RESPONSIBLE FOR FEEDING AND CARING FOR HIM/HERSELF. (You also want to make sure your child has a couple of bottles of water, or a refillable bottle.)
Please note the band directors' request for parent help. Many of you have asked how you can help. We will need to have water available, uniforms and helmets need to be packed and unpacked, instruments need to be loaded and placed in order, other equipment needs to be loaded.
It will be a VERY busy day and we all need to move quickly - the more hands we have, the better off we will be. Things can get a bit tense. Experienced parents, please remember how confusing it was the first couple of times you helped out and take the new parents under your wing. We all need to work on this a little so the newer parents will feel comfortable and welcomed.
Hope to see you all Saturday!
Our guest commentator this week is Julie Lamb, mother of J.T. and Jeorgia.
Last week was quite a ride. With the awesome "Cool School" event Friday morning, zero too little sleep and then to be hit with the news that cuts so deeply in our house, I was so proud of the band but mostly of our youngest "non" members who pitched in and helped with everything to get the show on. My favorite comment, "I thought it just; happened I didn't know it was so much work" was priceless. The realization that parents are "the just happened" was a lesson learned by seven students who will never forget how shows get put on the field. That was a great lesson for them and I know when they take the field in the future, they will appreciate the parents' contribution to their show.
The Hillwood band did what I expected after working with them over the last four seasons. Our upper classmen guided this group through a very difficult time. And again, they came out winners. Not in placement, but with their choices and work ethic. This program does more to teach our children necessary skills, such as group effort, self discipline, leadership, and most importantly, the self confidence they gain as they learn these lessons that will carry them throughout their life.
Jeorgia and I will be speaking to the school board at 5:00pm on Tuesday, October 14th about revising or deleting the current Marching Band District Standard Operating policy (DSOP). She asked me if she could speak to the board (newly found self confidence of the youngest "auxiliary" member). It is a privilege for younger students to march. They must possess skill and coordination as well as maturity. I believe it is a parent's right to determine if the invitation is right for their child. I believe the band director knows their students thus recommendations are important in this process too. I do not believe that the administration knows what is best for all "band" students. That is one reason why "choice" is becoming the norm for the district, parents should have the right to decide what is best for their child. Please come join us by coming with signs supporting our cause.
Julie Lamb
Update from Jody Gregory, VP of Ways & Means:
First, I want to say Congrats to the band! Way to go! A sweep of all the awards in your class must feel pretty good to you. All those practices are paying off. Keep up the good work. And I'd also like to thank all the middle school kids for helping out. You are still a big part of our program!
Second, the band will need a lot of parent help this weekend. With two competitions here locally & the potential of the band performing four times, it's a great time to get involved. If you can't dedicate all day, come when you can help for awhile. The kids are working on their big finish this week, so it will be a good chance to see all the progress they have made.
Now for a ways & means update: We currently have three fundraising opportunities going on - fruit sales, taking up money at Central Parking events, and Kroger Gift Cards. On our band website www.hillwoodband.com are instructions on how to order the fruit and a link to the Hillwood fruit sale site to order your fruit. The instructions let you and friends & family know how to give credit to your band student when they place an order. The parking opportunities are plenty with Central Parking. You earn approximately $8.50 an hour for each hour worked at an event. If you would like to add your name to the list, send an email to parking@hillwoodband.com to get an initial list of opportunities & email updates. And if you shop at Kroger, the gift card program is an easy fundraiser. Every $ you load on your gift card linked to the band parent organization, you get 4% credited to your account with the band. So $100 loaded on your card would give you $4 to your child's band account. Four dollars can add up week after week.
Thanks! |

Did you have the pleasure of attending the competition Saturday??? All I could say after it was over was "SPECTACULAR!" This is the best I've seen the kids perform. The younger kids were in attendance, helping out. We have some WONDERFUL kids!!!
Saturday is going to be a LONG day with two competitions. We're going to need plenty of people on hand to help provide water and support for the kids.
Our guest commentator will appear in the weekly update.

I have a small request before the guest commentator's note: please, please, PLEASE do not point out the kids we lost from the show. It is still a VERY emotional time for them and their families. The kids are reminded every time they arrive at HHS and don't need other parents reminding them of it. Thanks for understanding.
We have one guest commentator this newsletter!
Note to our 'band kids' from Andi Dejarnette(Jordan D's mom):
I want to send my congratulations to the entire band for not only last week's performance, but for always giving it all they have. Last week they were thrown a curve, but they rose to the occasion on behalf of the entire group. It all started with a lock in Wednesday, thanks to Ms. Franco. (And thank you to Ms. Smith and Ms. Fariba for going with little sleep to make a special evening for the kids). Thursday they were featured on "Cool School". They rested & came back to practice. Friday they were handed a challenge and were forced to give up 7 of their band family. They took the challenge, changed the drill, and brought home another FIRST in their class. You all know how to spell out LOVE. Remember what Jon told you and know that you are the BEST! WE LOVE YOU

We have two guest commentators this newsletter!
Note to our 'band kids' from Debbie Ottarski (Brent's mom):
I have such a deep respect for all of you right now! Friday, you received news of quite a blow to your band. One of the only guarantees in life is that there will always be change of circumstances. All of us have two choices when faced with those changes. One, to acknowledge the change, dig in, work hard and rise above our circumstance. Two, we can lay down under our circumstance and be defeated by it. It speaks very highly of all of you , both as individuals and as a group, that you chose to meet the challenge...dig in and rise above your circumstance! Your performance on Saturday showed the work, the care, and the professionalism in which you bring to this organization. The class, decorum, and support that our eighth grade members showed on Saturday showed just how incredible all of you are!
The trophies that are won are incredible...but the quality of this band, it's members, and it's directors, are both inspiring and humbling.
You guys are exceptional!!
Greetings Hillwood Band Family & Friends from Alice Craft (Alex's mom):
What an incredible past several days we have had.
Being a "Channel 4 Cool School" was certainly a good reason to get to school early, very very early on October 3rd. I saw some of the broadcast and I believe Hillwood was shown in a wonderful light, especially several of our band members. If you are interested in what was broadcast, it may be on the wsmv.com website. Special thanks to the parents that got the lock-in coordinated off campus to help get a good turnout for this sudden scheduled school event.
The Traveler's Rest Invitational Competition (TRI) on Saturday at John Overton High School was a fairly good success for Hillwood Band. In light of the substantial membership changes that our directors were forced to make at the eleventh hour before the contest, I must say I feel a great sense of pride in how graceful our youth have handled the situation. It hurts when you work so hard, put your heart into an activity and then for whatever reason the "powers that be" make a proclamation that hits you hard in the gut, sending you a thousand steps backward forcing a change in plans. Although changes had to occur, we did have a great learning & performing opportunity for everyone involved. Hopefully, we can continue to allow cluster members not yet attending High School to work with the band in a capacity of Topper Helpers or Future Toppers, I dunno, let's come up with a good title for Band members in waiting that want to help us get things done. We definitely need their help. And we want their help.
Another note about TRI, the "Drill Down" was very entertaining. I must mention and offer kudos to Fareed Rafipour, Zack Sutton, and Maria Chavez who each did a great job stepping out to represent and take a try at what looked to be terribly difficult marching situation. The drill commands were fast, furious and probably hard to hear. Thanks for giving it a try.
Now moving on to something about which I feel a strong sense of responsibility. The uniforms we have are on the third year of a ten year use period. They have to last seven more years. To keep them in good shape, looking unworn, and like new, we must avoid unnecessary washing. Our Directors & Field Conductors put Band Members in the uniform for the show, for the absolute minimum amount of time as possible. For this reason it is unlikely that the uniforms need to be washed after every competition or football game. Also, Band Members were provided with Fariba's Febreeze in little bottles to spritz their jackets on inside to keep the offensive smells to a minimum. However, it is possible that the pants portion (or Halves) may need attention more often than the Jacket. If someone a feels the a particular uniform requires attention, be it a cleaning or repair operation, please simply mention it to uniform moms (Fariba Rafipour or Alice Craft). You may be asked to write the specific problem on a piece of paper, in any case the problem will get attention. We do need help getting the washing accomplished when it comes time, so if you are willing to get involved in doing a chunk of laundry, please let us know. Your help is greatly appreciated and will always be!
In an additional note about uniforms, We are apparently misplacing our wrist gauntlets. So we must come up with a plan for better accountability of these very critical parts of the uniform. If there is a Band Member who has a good idea of how to keep up with these, please let us know. More information to come on this item. In any case, we absolutely must throw down the gauntlet on the gauntlets!
From this Hillwood Band Mom, I must say thank you to everyone who works to keep things moving in a positive direction. We have a fantastic group of parents and staff working within our band family. It is great when more folks are able to help get things done. If you have something you want to share, a talent or ability to get things done, please don't hide! Your Band Family needs you! Sometimes the things we do seem impossible at first, but miracles are the routine and happen all the time around the Hillwood Band. Come see!
And finally, to anyone who is actively engaged in Band activity, please know you are appreciated. If you need acknowledgement (or something else to do?) let me know, I will certainly arrange for some appreciation! Our children are very appreciative and show it with the incredible show they perform, their wonderful manners, and their fantastic attitudes.
Yes, you can say, I LOVE YOU, HILLWOOD BAND!

From Mr. Chester and Mr. Shepherd:
Dear Parents & Band Members,
Thanks to all of you who helped make our WSMV cool Schools performance successful by providing time, talent, and energy for all the little things you take care of. Attached is the gig sheet for Saturday.
Due to mitigating circumstances we will need to change our plans slightly. Please be flexible...
We will not return to Hillwood after our performance but rather will spend the day enjoying other bands and let the students relax instead of rehearse. Our main reason for doing this is that it is a fundraiser for Overton it would come across as rude if we were to just up and leave. Again I apologize for the need to change plans.
One more up-to-date change: If you plan on tail-gaiting there is a designated area in which to do that at Overton. There is a small cost involved (I believe its $6.00 for tailgate parking per car). Otherwise we cannot have our normal spread like we have had in the past as they want us to contain it in their designated areas.
Thanks to all for your hard work!
